Switching club software without losing the season: what to export, what to import, what to check before the first practice

Your platform is changing, or the contract is ending, and the season does not stop. Here is the order that keeps the season whole.

The short answer

Export people, registrations, forms and payments from the old platform first, while you still have access. Import the roster into the next one from a file, review the duplicates, then re-open only the registrations that are still collecting. In Squadora, an admin imports a roster from CSV, Excel or pasted rows, up to 500 players a file.

The export list

Ask the old platform for four sets of files, in a format you can open: people, registrations, forms and payments. JerseyWatch says "Sports Connect lets you export team data to Excel, which you can then import into most other platforms." [1]

For reference, this is what Squadora gives a club that leaves. Club owners and admins export CSV files for people, registrations, forms and payments, with no medical data and no card details. Save the files somewhere that is not one person's laptop, and open each one before you cancel anything.

When your platform is a state requirement

Some clubs switch because their state association did. Nebraska State Soccer's page says: "NSS will continue to use Sports Connect for the Spring 2026 season." It also says: "Beginning with the Fall 2026-2027 season, Nebraska State Soccer has chosen PlayMetrics as its exclusive membership and competition operations provider." And: "Clubs that utilize a platform outside of PlayMetrics will be required to import all data for membership with NSS." [2]

That is one state. Check your own association's page for its dates before you plan the move.

What families do again

Saved cards usually do not move with a switch. Families enter their card again in the next system, so tell them before the first charge. Team Chicago's page about its own move says every parent must create an account on the platform it moved to, and that one account covers more than one player. [3]

In Squadora, parents see the exact price first, pay by card on a page hosted by Stripe, and get a receipt by email. Clubs take card payments and receive payouts through their own Stripe account.

The import

Clean the pool first. Our guide to rostering a youth soccer club covers that, so this page does not repeat it. Then, in Squadora, an admin maps the columns, reviews duplicates and creates the teams named, up to 500 players a file.

Once a birth date is set in Squadora it is locked, and a parent asks the club to correct it. So check the dates in your file before you load it. Age groups follow an August 1 to July 31 cycle; the 2026-27 age group chart has the groups.

TeamStats suggests running a pilot with one team, checking the data before go-live and setting a firm cutover date. [4]

The first week

Re-open only what is still collecting. In Squadora, a registration can require families to sign chosen forms before they register, and a tracker shows who still has to sign. Families get day and week views of the schedule, filtered by child and team.

For the fee side of a registration, see youth soccer registration fees.

A checklist before the first practice

 1. The old exports open, and a copy is saved outside the old platform.
 2. Each team roster matches the old list, with birth dates checked.
 3. Required forms are signed, or the tracker shows who is left.
 4. Fees show on the registrations that are still open.
 5. Families know they enter their card again.
 6. Age groups follow the August 1 to July 31 cycle.

How we read this

We searched for this question on October 30, 2026 and read the pages below. This is a guide to the questions, not a hands-on test of any product. Under each, what the page does not cover:

 • JerseyWatch, Sports Connect alternatives [1]: It names the data to move and says to export early. It has no file-by-file export list, and does not cover forms or payments.
 • Team Chicago, move to PlayMetrics [3]: It tells families to make an account. It does not say whether records carry over, how cards are handled or whether forms are signed again.
 • TeamStats, upgrading from spreadsheets [4]: It covers a pilot and a cutover date. It does not cover exporting from the old platform, payments, forms or a checklist.
 • Nebraska State Soccer, move to PlayMetrics [2]: It states one state association's dates. It does not tell a club how to export or import.

Questions people ask

Club owners and admins export CSV files for people, registrations, forms and payments, with no medical data and no card details.

How do families pay?

In Squadora, parents see the exact price first, pay by card on a page hosted by Stripe, and get a receipt by email.

How do I keep age groups right after a move?
