What Squadora does for a youth soccer club

This is what a club can do in Squadora. Each line describes something Squadora does now. The last section lists what it does not do.

On this page

Online registration for youth soccer clubs

  • Admins open a registration for a season, camp, clinic, tryout or league, with a fee, a spot limit, a waitlist and a closing date.
  • A registration fee can be split into 2, 3, 4 or 6 payments.
  • Parents apply for a program once for each child, sign the required forms and pay.
  • Admins confirm, waitlist, ask for changes or decline each application, and a registration with a price confirms only after it is paid.
  • Families get an email when they are confirmed, waitlisted, moved off the waitlist or cancelled.

Waivers and forms

  • Clubs build waivers, codes of conduct and custom forms, with short answer, checkbox, typed signature and choice fields.
  • A form goes to the whole club or to one team, and a tracker shows who still has to sign.
  • A registration can require families to sign chosen forms before they register.
  • Parents see their pending and signed forms and sign with a typed name.
  • On the web, a signed form downloads as a PDF.
  • A parent can ask the club to reopen a signed form to correct it.

RSVPs and schedules for parents

  • Families get day and week views, filtered by child and team, with a warning when two children are due in different places at the same time.
  • Parents answer going, not going or maybe, with a note.
  • Coaches see running RSVP counts for each event, and staff get a notice when a child is marked unavailable.
  • An attendance register puts families' answers beside present, late, absent or excused marks.
  • A calendar link keeps a phone calendar up to date by itself.
  • Parents get an RSVP reminder 24 hours before the answer is due.

Match day: lineups and live score

  • Coaches drag players onto a pitch in formations from 4-3-3 and 4-4-2 down to 2-3-1 for seven-a-side, then publish when the lineup is ready.
  • Families see the published lineup on a read-only pitch.
  • Staff start a match, adjust the score, call full time and send the result for sign-off.
  • Between two clubs, the home club signs the result and the visitor confirms it or sends it back.
  • On the web desk, staff add goals, penalties, own goals and cards with the minute and the scorer, and the score moves with them.
  • Standings are worked out from signed-off results only.
  • Families get kickoff and full-time notices in the app.
  • Coaches can switch on play time tracking for a team: a match clock, substitutions and each player's season minutes, visible to coaches only.

Leagues and tournaments

  • A club can run a league: other clubs enter teams, the host approves them, and divisions are set by age, sex and level.
  • Tournaments can be knockout, groups then knockout, or round robin, with seeding and round-one fixtures drawn from the seeding.
  • A coach enters a competition by pasting the host's link, picking a team and a division, and paying the entry fee.
  • Fixtures, scores, brackets and tables for a league or tournament have public pages that anyone can open without signing in.

Payments: installments, autopay, sibling discounts and refunds

  • Clubs take card payments and receive payouts through their own Stripe account.
  • Parents see the exact price first, pay by card on a page hosted by Stripe, and get a receipt by email.
  • A family can pay all its open charges at one club in a single checkout.
  • Treasurers can split a charge into 2, 3, 4 or 6 payments.
  • Parents can agree to autopay for a charge: the default saved card is charged when the charge falls due within two days, and autopay stops after three failed attempts.
  • Treasurers can set a sibling discount, as a percent or as dollars off each additional child.
  • Treasurers review refunds, approve or decline them with a note, and send approved refunds to Stripe.
  • Treasurers can issue a credit to a payer, and the family spends it, oldest first, at its next payment.
  • Parents can ask for financial aid on a charge, and the treasurer approves or declines the request.
  • Treasurers see who owes what and can send a reminder, once every 24 hours for each charge.
  • Treasurers can export payments and a ledger of money events as CSV files.

Child safety

  • A child chats only with staff or their own guardians, and every guardian is added to the chat.
  • A parent can invite a second guardian with set permissions for the schedule, RSVPs, messaging and payments, and the club approves the invitation.
  • Second guardians wait in a queue until the club approves or declines them.
  • At 18, a guardian's access ends and the player's own account takes over.
  • Squadora has 12 roles, enforced by database rules and not only by the screens, and staff can be limited to the teams they are assigned.
  • Members can report or block a message, and a screening step hides messages that match a word list or off-platform contact patterns and opens a review.
  • Once a birth date is set it is locked, and a parent asks the club to correct it.
  • Safeguarding notes are visible only to the club owner and admins.
  • A child moves to another club only when both clubs approve.

Roster import, season rollover and waitlists

  • Admins import a roster from CSV, Excel or pasted rows, map the columns, review duplicates and create the teams named, up to 500 players a file.
  • Season rollover copies teams into the next season one year older, and can move the players and archive the old teams.
  • Age groups follow an August 1 to July 31 cycle.
  • A registration with a spot limit keeps a waitlist, and families get an email when they move off it.

Your club's data

  • Club owners and admins export CSV files for people, registrations, forms and payments, with no medical data and no card details.
  • Any user can download their own data, and the data of the children they guard.
  • Any user can delete their account in the app, with a 30-day grace period before the data is purged.

Messages and announcements

  • Squadora has team chat, a club channel and direct messages.
  • Admins write an announcement once, choose the audience by role and team, send it now or schedule it, and it goes out by email and in the app.
  • A delivery report shows how many messages reached the mail service and how many failed.

What Squadora does not do

  • Squadora has no player development tools: no coaching curriculum, no player evaluations and no player stats.
  • Squadora has no club website builder.
  • Squadora has no livestreaming, sponsor management, uniform store, referee assignment, background checks or field booking with conflict checks.
  • Squadora sends no text messages.
  • Squadora does not record cash or check payments.
  • Families pay by card. Bank payments are not offered.
  • Besides the sibling discount, Squadora has no discount codes for families.
  • Squadora cannot set up monthly recurring dues. A charge can be split into 2, 3, 4 or 6 payments instead.
