Youth soccer registration fees: who pays what, and what to ask every vendor before the treasurer signs

The board wants to know who pays the card fees, and you're holding two vendor quotes. Here are the lines to look for, and the questions to ask.

The short answer

A registration fee is made of more than the club's price. There is the club's own fee, there is card processing, and there may be a fee from the platform. The vendor's quote decides who carries the last two. Ask for every line in writing before the vote. A family should see the exact price before it pays.

The lines on a registration bill

Three lines belong on a registration bill: the club's fee, card processing and any platform fee. Nothing else should appear without a name. So ask for the quote in writing with every line: setup, yearly or monthly charges, and any fee on each registration.

Processing fee or platform fee, and who pays

TeamSnap's help center says TeamSnap "does not add any administrative fees" onto registration transactions, but that there are "processing fees" if you collect fees online. [1]

The same article says a club can pass the processing fees on to the registrant, so they are included in the registrant's total. The Transaction Fees switch is on by default; a club that turns it off includes the fees in its own fee amounts. [1]

JerseyWatch's fee calculator asks whether "Our organization" or "Families" covers processing, and for the first option says the organization "receives a bit less" after the processing fee. [2]

So who carries the fee is a setting the club chooses, or a line the vendor decides. That is why it goes in the written quote. For the TeamSnap detail, read how TeamSnap's processing fees work.

On Squadora's side, it is one line. Card payments carry Stripe processing and a Squadora platform fee.

What the family sees before paying

A family should know the total before it pays. In Squadora, parents see the exact price first, pay by card on a page hosted by Stripe, and get a receipt by email. A registration with a price confirms only after it is paid.

Refunds and payments in pieces

In Squadora, treasurers review refunds, approve or decline them with a note, and send approved refunds to Stripe. Treasurers can split a charge into 2, 3, 4 or 6 payments, and set a sibling discount as a percent or as dollars off each additional child.

Where the money goes

In Squadora, clubs take card payments and receive payouts through their own Stripe account. Families pay by card. Treasurers see who owes what and can export payments and a ledger of money events as CSV files. The full list is on the features page.

Ask every vendor, in writing

 1. Who pays the card processing fee, the club or each family, and can we choose?
 2. Is the fee a percentage of each payment, and does the rate change with our volume?
 3. Is there a setup fee, a yearly fee or a fee for each registration on top of processing?
 4. What happens to the fee when a payment is refunded?
 5. How long is the contract, and what do we get if we leave?

These are the questions on our TeamSnap and PlayMetrics comparison pages. To see Squadora with your registration in it, write to support@squadora.com.

How we read this

We searched for this question on October 30, 2026 and read the pages below. This is a guide to the questions, not a hands-on test of any product. Under each, what the page does not cover:

 • JerseyWatch, fee calculator [2]: It shows one vendor's own setting for who covers processing. It does not compare other vendors, setup or yearly charges, or refunds.
 • TeamSnap, help center [1]: It explains TeamSnap only. It does not say what to ask any other vendor.
 • TeamSnap, pricing page [3]: It names no price for clubs and leagues and offers a demo, so the quote is where the lines appear.
